Meeting Participants & Call to Order

Tamara Moore, Chris Graham, Richard Sceiford, Martha Jackson, Jeff Pettus, Kay Hirst, Harry Warren, Courtney Hybarger, Kim Tweedy, Lisa Colwell, Kathryn Beach, Ashley Poteat, Peter Koch, John Campbell, Leigh Lasher White, and Dusty Wescott.

Tamara called the meeting to order at 10:42 am.

Executive Committee Reports

President: Tamara reported that in the last months, she has worked with Kim Tweedy to run second printing of membership brochures, reviewed Chris Graham’s blog project, met with Troy and signed Arts Council grant paperwork, sent support letter for NCSU PhD Public History program, sent logo PMS colors to Lisa Colwell for tweaking, and responded to various requests for information.

Secretary: A motion was made to accept and dispense with the reading of the minutes.

Vice President: Troy reported that the FOCoS consultation team completed their site visit to the History Museum of Burke County. Bill Cissna and Edith Brady visited the museum in Morganton, North Carolina on August 24th and August 25th. The consultants have also reviewed the notes and materials from the visit and have completed their FOCoS report. The report is being reviewed and will be mailed to the museum shortly.

Troy noted in submitting expenses for the project, the consultants pointed out that the reimbursed mileage rate is low and does not meet the current federal reimbursement rate, and recommended the current FOCoS guidelines be amended to reimburse mileage at the federal rate established each year.

Current Guideline:

“Mileage to be reimbursed at a flat rate of .42 cents a mile.”

Recommended Guideline:

“Mileage to be reimbursed at the current federal rate of reimbursement. Current rate is .44 cents per mile adjusted annually.”

Treasurer: Rich reported that after experiencing difficulty printing out an income and expenses spreadsheet, the following serves as a list of account balances:

Total                            $57,888.48

New and renewed memberships represent the bulk of our income over the past quarter, with $2,125 from memberships deposited. Other revenue sources have included selling of the NCMC mailing list (1/$25) and website/newsletter job postings (2/$30).

Our largest expenditure have been toward web site maintenance and development ($1412.89 over past quarter, which includes $412.50 deposit to Gary Roher for the web site database project.) Rich is working to produce a budget for FY07-08 and will have it ready at the March meeting.

Standing Committee Reports

Awards: Harry reminds all that deadline for awards nominations is January 29, 2007.

Directory: No report.

Newsletter: The color PDF version of the Autumn 2006 newsletter was posted to the NCMC website on October 16. Fifty-nine black & white hard copies were mailed on October 15, 2006; total cost for printing and postage was $119.34.

The Winter 2007 issue will be published on January 15, 2007 and will cover news and calendar events from January 15, 2007 to April 15, 2007. A reminder will be sent via the announcement list about 2-3 weeks before the December 5 submissions deadline.

Governmental Affairs: Catherine reports that the November 7 elections resulted in a Democratic House and Senate. Now is a good time to write your local and state representatives with congratulations, thanks, and reminders of how much their support means to their institutions.

Professional Development: Planning for the annual meeting in March 2007 is on target. We have a full meeting schedule beginning with a reception and program Tuesday evening. There are four workshops planned to Wednesday morning, tours of museums and sites in the Hickory area Wednesday afternoon, and five programs for each concurrent session on Thursday and Friday.

Nathan Moehlmann, local arrangements chair, is designing the registration flyer. He anticipates mailing registration forms to members no later than the first week of December.

Membership Development: Membership Total: 165 members currently paid up to date. 119 members whose membership has lapsed in 2006 and have yet to renew. New members, 14.

Public Relations: Ashley reported

  1. Website database contract has been signed and the first payment has been received by Gary Roher for the project.
  2. Bill Cissna is here today to further discuss this project.
  3. Bill has been working closely with the conference coordinators to make changes to the website in reference to the March 2007 conference in Hickory.
  4. Please continue to encourage people to sign up for the announcements list and to send in information to the website.
  5. Please continue to let Bill know if any updates need to be made to your section of the website.

SEMC: Dusty reports the following:

Annual Meeting in Chattanooga was a success. Attended by many.

SEMC Happenings, Monthly e-news.  First Issue will cover December 15, 2006 – January 25, 2007.  Deadline is November 25.

Student Affairs:

Despite technical difficulties, student affairs committee progress continues.

Information about North American graduate study and undergraduate opportunities in art conservation is ready to be posted on the website, as soon as the co-chairs have both had the opportunity to review the material. Each program offers a thorough website about its structure, requirements, and opportunities, so links to the appropriate home pages will be listed. A brief, general paragraph describing conservation precedes the list. Following the list are the names of professional conservation organizations that may be useful information sources.

Most of the undergraduate college students and graduating high school seniors who write to ask for advice have commented that they visited our site due to planning career options and are looking for feedback as much as participation in NCMC. The following “next steps” are proposed as student affairs projects:

Outline “typical” training routes one might take in order to work toward additional museum careers (registration, photography/design, exhibit design, lighting, curatorial, education). Contributions to this idea would be welcome from NCMC Board or members, so the listserv would be put to work.

Expand “tips” for preparing to attend a program in conservation to include suggestions for preparatory coursework and finding the required internship experience.

These suggestions are directly based on student responses and, in the future, could be developed further.

Special Projects

Federal Museum Grant Initiative: No report

NCMC/NCECHO: NCMC Metadata Working Group/NC Dublin Core. The working group has met several times this summer in an effort to establish best practice guidelines for using museum metadata. In addition to museum professionals, the group includes archivists and librarians in an effort to ensure that all disciplines are using a common metadata language. Attempts to find that common ground led to some rather lively discussions, but eventually reached consensus.

The first draft was completed in October, and the group met to refine the draft. Kathy Wisser, NC ECHO Metadata Coordinator, is compiling our comments and observations and plans to release the next draft by the end of November for further review by the committee.

N.C. Arts Council News: No report.

Emergency Planning: No report.

Section Reports

Art: No report.

History: The History Section executive committee composed of Vice-Chair - Harold Jacobson, Secretary - Heidi Bleazey, and myself met October 13 in Roanoke Rapids to discuss the history section scholarships and ideas for a speaker for the Section breakfast.  Harold, as the newly hired director of the Roanoke Canal Museum and Trail, hosted us and we were able to tour the site.  I was very impressed.

We’ve settled upon a topic and speakers for our section at the upcoming Annual Meeting.  Louise Benner, textile curator North Carolina Museum of History and Anne Peranteau, Textile Conservator North Carolina Museum of History will be discussing their brand new exhibit entitled “What We Wore”.  This is an exhibit that shows over 200 years of costume, all from the museum’s collection.  It is somewhat unique in the amount of conservation required, and the fact that the exhibit will be up for 6 months.  Every item on display will then be rotated with a similar different artifact, and those new rotations will be on display for six more months.  To hear about the challenges this exhibit posed from both a curatorial and conservation perspective should prove very interesting.  They will also have a lot of visually stunning images of the textiles to share.

Science: Leigh Lasher-White reports that she sent an email to current science section members and also to N.C. science organizations that are not currently members of NCMC. Her goals were to introduce herself, obtain some information regarding why more science facilities are not actively participating in NCMC, and ultimately to spark interest in being active members of NCMC. Fifty-seven emails were sent; three were returned as “undeliverable”, ten institutions responded to the emails—six of whom answered the survey.

Next step for the Science Section is to secure a speaker for the section breakfast at the annual meeting.
