Meeting Participants & Call to Order

JoAnne Powell, Rachel Dickens, Ashley Poteat, Kaye Hirst, Troy Burton, Denny Meacham, Harry Warren, Dusty Wescott, John Campbell, Debbie Curry, Janette Mina, Jamilyn Cole, Jeff Pettus, Edith Brady, Chris Graham, and Tamara Moore.

Tamara Moore called the meeting to order at 10:30.

Executive Committee Reports

President: Tamara has worked with Dusty Wescott on hurricane relief efforts, with Bill Cissna on a nominating slate, with Ashley Poteat on website company search, and with Troy Burton to submit auditing info to Yadkin Pee Dee Lakes.

Secretary: A motion was made and accepted to dispense with the reading of the minutes. The secretary recommends the minutes be checked for accuracy.

Vice President: JoAnne reports that NCMC has successfully dispatched FOCoS consultants to the Rosetta Baldwin Foundation African-American Museum in High Point and the Anson County Historical Society in Wadesboro.

The NCMC Operating Guidelines have been updated based on changes suggested at the August 22 board meeting and will be distributed to board members following the November 7 meeting.

Board members will be receiving a survey form to complete and return to the Vice President to help update the current long-range plan. Please respond as soon as possible.

JoAnne announced her resignation as Vice President on March 1, 2006. In her place, Tamara and Bill nominated Troy Burton to serve as Vice President. The board unanimously approved. Richard Sceifert was approved to replace Troy as Treasurer.

Treasurer: Troy Burton reports 216 active members, $12,708.90 in the revolving fund, and $47,346.07 in equity accounts. He is also culling and updating over 800 names on the database and expresses his gratitude for sending invoices for all check requests.

The board entertained a discussion on the feasibility of an operating budget.

Past President: Neil Fulghum has continued to organize an extensive amount of NCMC records to turn over to the Archives chair at the upcoming annual meeting in Winston-Salem. He has also spent time organizing the NCMC collection, housed at the North Carolina Collection, Louis Round Wilson Library. The collection (LN.47) is currently maintained on a five year renewable loan.

Standing Committee Reports

Awards Committee: Harry Warren reports routine progress on 2006 award nominations.

Directory Committee: Courtney Hybarger will soon be taking bids for directory printing for the 2006 meeting.

Newsletter Committee: The electronic copies of the Summer 2005 newsletter were distributed to the membership on October 17. Seventy-five (75) hard copies were made at Turner Printing in Raleigh and mailed on October 18, 2005. The price of copies totaled $92.50. One hundred $.60 stamps were purchased, totaling $60.00.

The deadline for the upcoming Winter 2006 newsletter is December 5, 2005. Board members are encouraged to submit their articles and press releases before that date.

Rachel Dickens reports the winter issue will be her last as editor and Lisa Colwell is expected to fill the vacant editor position.

Nominating Committee: Bill Cissna is pleased to present the following nominations for review:

Annual Meetings –Kaye Brown Hirst (continuing); Archives—Joanie Phillip (continuing); Governmental Affairs—Catherine Coulter; Newsletter—Lisa Colwell; and Professional Development—Kathryn Beach.

Professional Development Committee: Edith Brady reports that the preliminary schedule for the annual meeting is complete. Registration forms have been printed and should be in the mail soon. Minor changes are needed and will appear on the website and on mailing lists. Session moderators will be confirmed this week.

Public Relations Committee: Guidelines separating the Public Relations Chair role and the website have been submitted to JoAnne Powell. Ashley Poteat has received two proposals for website management; one from Bill Cissna and one from Challe Hudson. She recommended approval of one proposal and the Board voted for Bill Cissna.

SEMC: Dusty Wescott reports that SEMC has established three funds to assist Gulf Coats museums and their employees. Discussion followed on the fesability of utilizing unused money earmarked for donation to create an NCMC-sponsored disaster relief resource.

Student Affairs Committee: Jannette Mina discussed the development of a mailing to university programs regarding the Student Memorial Award and other student offerings. Deadline dates for the Internship and the Student Memorial will be January 20, 2006. The Student Affairs Committee has submitted changes for the website in the course listings.

Annual Meetings Committee: Plans for the 2006 Annual Meeting in Winston-Salem continue to be well organized and almost complete. Hickory area museums and the CVB have submitted an invitation and supporting documents for the 2007 Annual Meeting. The board voted to accept the invitation. Kaye Hirst has discussed the possibility of a joint meeting with the South Carolina Federation of Museums or the Virginia Association of Museums but thus far an agreement has not been reached on dates or locations.

Special Projects

Federal Museum Grant Initiative: In the absence of Dr. Rodger E. Stroup of South Carolina, John Campbell presented information about the AASLH Federal Formula Grant Initiative Task Force. The board discussed Dr. Stroup’s letter and papers and what action NCMC should take. It was decided to table the discussion in favor of more information.

Partnership with N.C. Museum of Art: Perry Hurt was not present, but it is the board’s understanding his grant was not funded.

1000/100 Project: Dusty Reported that NCMC contributions to this project will soon end.

NCECHO & JIMI: The board held a lengthy discussion about how to coordinate applicants for scholarship and applicants for JIMI.

N.C. Arts Council: Jeff Pettus reported six arts scholarships for the NCMC annual meeting are available.

Section Reports

Art: The Art Section co-chair has compiled a list of one hundred and ten North Carolina art museums and organizations not currently members of the NCMC. Art section members now number thirty-seven. In January, membership invitations will be mailed to non-members. Denny Meacham and Daphne Holmes have been working with Edith and Jeff to confirm an Art Section presentation for the annual meeting.

Science: Debbie Curry reports the establishment of a section listserv and it has been lightly used. Plans for the annual conference are to host a series of sharing sessions on Thursday and the section breakfast topic on effective workshop programs.

Children’s: Tim Goetz was not present.
