Tamara Moore called the meeting to order at 4:05 pm.
President: Tamara issued no report this meeting.
Secretary: A motion was made and accepted to dispense with the reading of the minutes. The secretary recommends the minutes be checked for accuracy. One addition made to 11-07 –06 minutes.
Vice President: JoAnne reports that two museums were awarded FOCoS consultations in 2005: The Rosetta Baldwin Foundation African-American Museum in High Point and the Anson County Historical Society in Wasdesboro. Shirl Spicer and Albert Potts visited the Rosetta Baldwin Museum and John Campbell and John Cope visited the Anson County Museum. Both groups completed their on-site visits and consultations and submitted reports to the site and to NCMC in 2005.
To date, one application has been received for FOCoS for 2005.
The NCMC Operating Guidelines were updated as of November 2005.
Board members received a survey form to complete and return to the Vice President to help update the current long-range plan. Board members have copies of the president’s proposals combined with board suggestions as of November 2005.
JoAnne’s resignation (letter to Board, October 27, 2005) as NCMC Vice President is effective as of the March 1, 2006. She will accept the appointment as Nominating Committee Chair until a new chairperson is voted in at the annual meeting in 2007.
After initially overseeing the start-up of a Disaster Relief Review and Recommendations Committee, the committee members, John Campbell, Jeff Pettus, Chris Grahaam, Dusty Wescott and Martha Battle formally met and with the help of other professionals, began to draw up guidelines for NCMC.
Treasurer: In Troy Burton’s absence, Dusty Wescott presented an abbreviated report.
Past President: Neil Fulghum has completed his reorganization of NCMC records in his possession and is ready to turn them over to Joanie Phillips.
Neil is also brought to the Board’s attention the vague language of NCMC’s self-definition on the website and announced he will work on tightening up the language.
Awards Committee: Harry Warren, Dusty Wescott, John Campbell, Rich Seiford, Jeanne Todd, Kay Brown Hirst, and Perry Hurt comprised the awards committee. Harry announced that eight of ten professional awards categories received multiple nominations, and twenty-four graphics and design awards categories received nominations. Thirty-two awards will be presented at the dinner.
Directory Committee: Courtney Hybarger reported the directories are complete and will be handed out during the conference. Seven hundred fifty copies were printed and Courtney needs assistance in passing the directories out.
Bill Cissna has completed the address and information updates. He will begin working on putting the database into a label format. Courtney requests that address or information changes be sent to her.
Newsletter Committee: Rachel Dickens reports the electronic copies of the Winter 2006 Newsletter were made available on the NCMC website on January 8. Forty-five hard copies were made at Kinkos and mailed on January 9, 2006. The price of the copies totaled $38.35.
The deadline for the upcoming Spring 2006 Newsletter is March 5. Board members are encouraged to submit their articles and press releases to the new newsletter chair (Lisa Colwell) through the newsletter@ncmuseums.org address. The Spring newsletter will be distributed on or about April 15.
Governmental Affairs Committee: House Bill 1717 was successful in increasing legislative funding for the Arts Council. Rich raised the question…”will NCMC be a sponsor of NC Arts Day (May 9) for $500?" The Board voted “yes”.
Nominating Committee: JoAnne presented the following nominations as new or replacement positions:
Annual Meetings –Kaye Brown Hirst (continuing); Archives—Joanie Phillip (continuing); Governmental Affairs—Catherine Coulter; Newsletter—Lisa Colwell; Professional Development—Kathryn Beach; Vice President—Troy Burton; and Treasurer—Rich Sceiford.
Professional Development Committee: Edith out sick. No report presented.
Membership Development: Jamilyn Cole has resigned, but will stay on board until a replacement is named.
Public Relations Committee:
The six-month contract with our new webmaster, Bill Cissna, took effect January 1, 2006. Tamara, Bill, and Ashley met on January 31 to discuss various issues, including;
New design for the website. Some changes have already taken effect. A more complete overhaul will take place in the future. Bill and Ashley are soliciting photographs of member museums.
Listserv-announcements vs. news vs. discussions. None of the lists include the entire membership. Individuals most opt in to receive any or all of them. Announcement has 400 names, all-NCMC discussion has 88 names, art has 13 names, history has 57 names, children has 5 names and science has 10 names on its list. Any announcement that you want to go out to the larger group of names must be sent to the webmaster in proper format, written by you.
Each board member, chair, or section leader is responsible for the content on the website pertaining to their area.
Free job announcements are one of the only perks of membership. Non-members must pay a $25 fee.
Please forward any information you have pertaining to internships to the webmaster for posting.
SEMC: Dusty Wescott reports that SEMC has established three funds to assist Gulf Coats museums and their employees. Discussion followed on the fesability of utilizing unused money earmarked for donation to create an NCMC-sponsored disaster relief resource.
Student Affairs Committee: Jannette Mina discussed the development of a mailing to university programs regarding the Student Memorial Award and other student offerings. Deadline dates for the Internship and the Student Memorial will be January 20, 2006. The Student Affairs Committee has submitted changes for the website in the course listings.
Annual Meetings Committee: Plans for the 2006 Annual Meeting in Winston-Salem continue to be well organized and almost complete. Hickory area museums and the CVB have submitted an invitation and supporting documents for the 2007 Annual Meeting. The board voted to accept the invitation. Kaye Hirst has discussed the possibility of a joint meeting with the South Carolina Federation of Museums or the Virginia Association of Museums but thus far an agreement has not been reached on dates or locations.
Federal Museum Grant Initiative: In the absence of Dr. Rodger E. Stroup of South Carolina, John Campbell presented information about the AASLH Federal Formula Grant Initiative Task Force. The board discussed Dr. Stroup’s letter and papers and what action NCMC should take. It was decided to table the discussion in favor of more information.
Partnership with N.C. Museum of Art: Perry Hurt was not present, but it is the board’s understanding his grant was not funded.
1000/100 Project: Dusty Reported that NCMC contributions to this project will soon end.
NCECHO & JIMI: The board held a lengthy discussion about how to coordinate applicants for scholarship and applicants for JIMI.
N.C. Arts Council: Jeff Pettus reported six arts scholarships for the NCMC annual meeting are available.
Art: The Art Section co-chair has compiled a list of one hundred and ten North Carolina art museums and organizations not currently members of the NCMC. Art section members now number thirty-seven. In January, membership invitations will be mailed to non-members. Denny Meacham and Daphne Holmes have been working with Edith and Jeff to confirm an Art Section presentation for the annual meeting.
Science: Debbie Curry reports the establishment of a section listserv and it has been lightly used. Plans for the annual conference are to host a series of sharing sessions on Thursday and the section breakfast topic on effective workshop programs.
Children’s: Tim Goetz reported letters send to eight institutions to increase membership.
